Terms and Conditions
PIT EXPEDITIONS appreciates your preference. We are committed to making your vacation one of the most memorable experiences of your life. Please read carefully the following policies, terms, and conditions.
- DOCUMENTATION
To confirm your reservation, the following information is required:
Full name as it appears on your passport; address and phone/mobile number; current email address; nationality; date of birth; gender; occupation; arrival flight details to Peru and Cusco (dates and times).
Additionally, you must provide a clear copy of your valid passport, with at least 6 months validity from your travel date. Please also inform us of any medical conditions, dietary restrictions, or special interests related to your requested services.
PIT EXPEDITIONS shall not be responsible for any costs incurred due to invalid, expired, or missing travel documents.
For travelers staying more than 60 days in Peru, an 18% tax (IGV) will be added to the total program cost.
University students booking the Inca Trail and Machu Picchu must present a valid student ID (under 25 years old) including:
- University name
- Student name
- Student photo
- Expiration date (not older than one year)
A scanned copy must be sent at the time of booking, and the original must be carried during the tour.
- NATIONAL HOLIDAYS
During national holidays or festive periods in Peru (such as Christmas, New Year, Independence Day, Easter, Cusco festivities, etc.), additional charges may apply due to supplier policies and increased operational costs.
- TRAVEL INSURANCE
Before traveling, we strongly recommend purchasing travel insurance covering accidents, medical expenses, emergency evacuation, rescue, or air ambulance services.
We also recommend coverage for trip cancellations and luggage loss. You may send us a copy of your policy or share it with a trusted family member or friend.
- DOMESTIC FLIGHTS
Once issued, air tickets are non-refundable and non-transferable. Changes may be possible depending on availability and subject to airline penalties.
- BOOKING CONFIRMATION & FINAL PAYMENT
A minimum deposit of 50% of the total tour cost is required to confirm your booking.
All prices are expressed in U.S. Dollars (USD) and payments can be made through our available methods.
The remaining 50% balance must be paid at least 10 days before arrival in Peru.
All bank fees, transaction costs, or commissions are the responsibility of the client and are not included in tour prices.
Failure to complete the final payment authorizes PIT EXPEDITIONS to cancel the booking without prior notice, in accordance with applicable Peruvian Civil Law.
- CHILDREN
Discounts for minors may apply depending on the selected program and specific services.
- PICK-UP TIMES
Pick-up times will be indicated in your itinerary. Passengers must be ready in the hotel lobby at the agreed time, with a maximum tolerance of 15 minutes.
Failure to comply may result in loss of service without responsibility on the part of the agency.
If a passenger is under the influence of alcohol or drugs, the tour will be cancelled without refund or rescheduling.
- HOTELS
We reserve the right to substitute hotels with others of the same category, subject to availability.
Early check-in and late check-out are subject to additional charges according to each hotel’s policy.
- INCA TRAIL & RESTRICTED SITES
The Inca Trail, Huayna Picchu Mountain, and Machu Picchu Mountain are subject to government regulations and limited permits.
Due to high demand, reservations should be made at least 5 months in advance.
- WEBSITE INFORMATION
PIT EXPEDITIONS reserves the right to modify any information published on its website at any time.
- LOST OR STOLEN ITEMS
PIT EXPEDITIONS is not responsible for loss, theft, or damage to personal belongings during the tour. Travelers are responsible for safeguarding their possessions.
- CANCELLATIONS & REFUNDS
Clients may cancel services at any time; however, refunds will be subject to the following:
- Administrative fees
- Cancellation fees charged by service providers
- Compensation penalties depending on the service contracted
Failure to appear (No Show) or late arrival will result in 100% loss of the service and payment.
Certain services (train tickets, entrance fees, Inca Trail permits, Machu Picchu tickets, etc.) are non-refundable regardless of cancellation date.
Cancellation Policy
- Up to 90 days before: 25% penalty
- Up to 45 days before: 50% penalty
- Up to 30 days before: 80% penalty
- Up to 15 days before: 100% penalty
Important: Inca Trail permits are 100% non-refundable.
Group cancellations:
- Up to 120 days before: 50% penalty
- Up to 60 days before: 100% penalty
No refunds will be issued for unused services.
- NO SHOW
PIT EXPEDITIONS is not responsible for missed services due to flight delays or cancellations.
We are not liable for damages, baggage loss, accidents, unforeseen expenses, delays, or third-party services.
In case of no show due to unforeseen circumstances, we may provide documentation for insurance claims.
- DISCOUNTS
- Peruvian citizens (with valid ID) and Andean Community travelers (Colombia, Ecuador, Bolivia) may receive discounts.
- Students with valid ID may qualify for discounts.
- Special discounts apply for groups of more than 5 people.
- SERVICES NOT INCLUDED
- Extras, beverages, laundry, tips
- Airport taxes, service taxes, IGV, or other taxes
- Meals not explicitly included
- Expenses due to delays or cancellations beyond our control
- ASSIGNMENT & TRANSFER
Bookings may be transferred to another person up to 30 days before departure, subject to supplier approval.
A 10% administrative fee may apply.
- FORCE MAJEURE
In case of unforeseen events (strikes, natural disasters, protests, etc.), itineraries may be modified, postponed, or cancelled.
All actions will prioritize passenger safety in compliance with Peruvian Tourism Law.
- CLIENT RESPONSIBILITY
PIT EXPEDITIONS is not responsible for incidents such as illness, accidents, or disputes between passengers.
Any additional costs arising from such situations are the responsibility of the client.
- OUR RESPONSIBILITY
PIT EXPEDITIONS commits to providing the services requested by the client, maintaining quality standards in accordance with Peruvian Tourism Law No. 29408.
Important Considerations
Clients must inform us of any medical conditions, allergies, psychological conditions, dietary restrictions, or special requirements.
Traveling in Peru requires flexibility, patience, adaptability, and a positive attitude, as unexpected situations may occur.
Jurisdiction
Both parties agree to comply with these terms to ensure safety and service quality during your stay in Peru.
This agreement is governed by Peruvian law, including:
- Political Constitution of Peru (1993)
- General Tourism Law No. 29408
- Peruvian Civil Code
